The number of participants for the ExMEAC will be 30 to distribute among the (P)AS/AM.
The number of participants for the AMEAC will be 45 to distribute among the (P)AS/AM and 5 reserved for Working Groups.
A member can apply for both, the ExMEAC and AMEAC, or for just one of them.
4th of July 2022 at 11:00 UTC – The first round of applications opens.
ExMEAC AS applications will be prioritised to meet the Quorum, giving priority to the first (1) member of each AS. Once it is met, the remaining (P)AS/AM applications will be processed as “first-come first-served” and priority will be given to the first (1) member of each (P)AS/AM.
The AMEAC applications are processed as “first-come first-served”. To promote the diversity and to ensure the Quorum for the Congress, priority will be given to the first (1) member of each (P)AS/AM/WG.
For Congresses, the (P)AS/AM/WG has the possibility to deliver a priority list for their participants.
25th of July 2022 at 21:59 UTC – The first round of applications closes.
The second round of applications will be opened with the same criteria as above in case:- the quorum is not reached;- the minimum number of participants is not reached.
28th of July 2022 at 11:00 UTC – The second round of applications opens.
3rd of August 2022 at 21:59 UTC – The second round of applications closes.
If there are still vacancies, they will be filled with the people on the waiting list always following the same criteria as above.
The participation fee is:- 130€ (EUR 130) for the AMEAC;- 20€ (EUR 20) for the ExMEAC;- 150€ (EUR 150) for both of the events.
ExMEAC (Extra Meeting of the EUROAVIA Congress)The participation fee covers two(2) nights (from the 1st to the 3rd of October 2022) of accommodation, every meal, including welcome dinner, and transportation to the venue of the event.
AMEAC (Annual Meeting of the EUROAVIA Congress)The participation fee covers six (6) nights (from the 2nd to the 8th of October 2022) of accommodation, every meal, including welcome dinner and final dinner, and transportation to the venue of the event.
ExMEAC & AMEACThe participation fee covers seven (7) nights (from the 1st to the 8th of October 2022) of accommodation, every meal, including welcome dinner and final dinner, and transportation to the venue of the event.
The payment information regarding the participation fee will be provided to the participants via email, once confirmed.Travel costs to Napoli will be covered by each participant.EUROAVIA Napoli will not provide accommodation outside of the event dates. However, if a participant needs to stay extra days, EUROAVIA Napoli will assist him/her in finding proper accommodation.
In the case that a member has been confirmed by the organising committee to participate in the ExMEAC 2022/AMEAC 2022/ExMEAC&AMEAC 2022, but, for any reason, he/she is unable to participate in the event, he/she has the option of cancelling the participation.
In order to do so, the member will have to send an email to the organising committee (
napoli@euroavia.eu) stating the reason for the cancellation and the participation fee will be partially/fully paid, based on the following criteria:

If the member cancels his/her participation, the respective Local Group or WG is responsible for transferring the cancellation fee to the event organisers, under the condition that his/her place cannot be filled by someone else on the waiting list.
Participants on the waiting list that are admitted due to cancellation will have the possibility to cancel within one (1) week from receiving the acceptance email without paying a cancellation fee.
After this week, the cancellation fee will be according to the periods listed above.
The organising committee has decided that all participants in the event, regardless of their country of origin, must fill out a Health Declaration, that will be sent to the confirmed participant, and also must be able to present a valid EUROPEAN DIGITAL COVID CERTIFICATE (also known as the “Green Certificate”) that has proof of full vaccination (completed at least 10 days before traveling) OR a one that has proof of recovery from COVID-19 in the last 180 days. Any COVID-19 vaccine is allowed.
If the participant has proof of full vaccination but does not have a European Digital COVID Certificate (non-European countries), please contact the organising committee at napoli@euroavia.eu.
During the event, if any of the participants contact COVID-19, the organising committee will help him/her find proper accommodation and will cover its costs during the event period. However, AS Napoli will not cover the cost of accommodation outside of the event dates. During the isolation period, the participant will not be able to attend any of the event activities.
MEASURES IN FORCE UNTIL 30 SEPTEMBER 2022
In Italy, there is no longer the obligation to show the “Green Pass” to access transport, restaurant or hotel services, or to access other businesses.
Until 30 September 2022, it is mandatory to wear FFP2 type respiratory protective devices on public means of transport (trains, ships, ferries, buses, airplanes, and other means of public transport), in social and health facilities, and in social welfare and in health facilities.
It is however recommended to wear respiratory protection devices in all public indoor places or places open to the public.
The following are not obliged to wear a respiratory protective device: a) children under the age of six; b) people with pathologies or disabilities incompatible with the use of the mask, as well as people who must communicate with a person with disabilities in order not to be able to use the device; c) subjects who are carrying out sporting activities.
The removal of restrictions on travel to/from Italy does not exclude that some may still impose on the entry of travelers from abroad.
It should be remembered that health care caused by COVID-19 in the world has not ended and, in particular, if you are undergoing a molecular or antigenic test for return from Italy, please note that travelers must take into consideration the possibility that the test gives a positive result. In this case, it is not possible to travel by commercial means and you are subject to the quarantine and containment procedures required.
According to local legislation, these procedures also involve the so-called “contacts” with the positive subject, who are also subjected to quarantine/isolation by the authorities and who are not allowed to move. It is therefore recommended to carefully every aspect of the trip, also contemplating the possibility of having to spend an additional period abroad, as well as having health care that also covers the risks associated with COVID-19.

The second round of applications will be opened with the same criteria as above in case:
– the quorum is not reached;
– the minimum number of participants is not reached.

– 130€ (EUR 130) for the AMEAC;
– 20€ (EUR 20) for the ExMEAC;
– 150€ (EUR 150) for both of the events.

If the member cancels his/her participation, the respective Local Group or WG is responsible for transferring the cancellation fee to the event organisers, under the condition that his/her place cannot be filled by someone
